Terms and Conditions
The Terms and Conditions stated on this page are intended as automatically accepted by the Client with the confirmation of the reservation of our services.
1. Booking conditions and mode of payment
To confirm the booking, it will be necessary to pay a deposit and give a suitable guarantee in favour of Under The Roman Sun based on bank transfer or Western Union or Paypal.
When our office receives the wire receipt by fax or the money transfer control number of W.U. or the Paypal funding receipt, you will receive a confirmation from Under The Roman Sun via fax or via e-mail and we’ll proceed with the activation of your booking.
In case you select an apartment online and choose one of the following methods of payment:
• Credit card (not yet active)
• Bank transfer
• Western Union
• Paypal (email address: booking@undertheromansun.com)
You will receive a booking voucher by email, which will be valid for 48 hours. Within 48 hours you will have to send us by fax your bank transfer receipt or the money transfer control number. Then you will receive a definitive confirmation of the booking from Under The Roman Sun by fax or e-mail. If the necessary payment details requested do not arrive or have not been communicated within 48 hours Under The Roman Sun will be at liberty to cancel your booking.
Irrelevant of the mode of booking (W.U. or bank transfer or Paypal), on arrival the balance has to be paid ONLY WITH Euro CASH.
The rates publicized on the website are the ones indicated on every apartment’s description page, based on the duration of the stay, of the season and on the number of occupants. Except if otherwise agreed, the minimum stay is the one stated on the apartment description. The prices indicated are daily and are specified in the price table of every single apartment. The prices vary depending on: the duration of the stay, the season (high/low) and depending on the number of persons who will stay in the apartment. Minimum stay is 3 days, unless differently specified in the description of the apartment. If the stay comprises of 2 different seasons (high/low) the payment amount will be calculated by counting the exact number of days for every period.
2. Deposit
Some of our apartments require a security deposit to guarantee rights, obligations and to cover any possible damage to the apartment or its equipment. The exact amount of the deposit that has to be paid in order to confirm the booking is specified in the description of each apartment. The amount of the deposit must be paid along with the rental balance upon check-in based on the amount stated on the Confirmation Letter. It will be returned upon check-out, with exception to what’s stated on point 10. The lodging provider will make sure that the guest has not caused any damage. If damage has been caused he will deduct the amount required to repair the damage from the deposit.
3. Cleaning service
There is a € 50.00 end cleaning fee not optional that needs to be paid in cash upon arrival. The price includes also bed linen and bath towels. After a weeks stay Under The Roman Sun provides a free changing of bed linen and bath towels.
4. Water, gas, electricity costs
The use of water, gas and electricity is included in the price.
5. Arrival and departure terms and conditions
On arrival day one of our agents will be waiting for the client directly inside the apartment, so we need to know the flight details or the expected arrival time at the apartment at least 4 days in advance to arrange the appointment for the check in.
The guest must contact Under The Roman Sun 4 days before the arrival to communicate the approximate arrival time, by e-mail (info@undertheromansun.com) or by phone +39 345 3542111 - +39 06 58335909.
The arrival day, the guest MUST CALL 2 hours before the probable appointment to the +39 345 3542111 - +39 06 58335909 to fix the check in time.
If this does not happen Under the Roman Sun will be not responsible for check-in delays.
The Check-in and check-out procedures are included in the apartment rates based on the following times:
- Unless otherwise stated, the check-in time is from 3:00 pm. to 7:30 pm. and the check-out must be not later than 10:30 am.
However, if possible, upon request, the client may check-in and check-out at the most convenient time for him/her.
- Check in time and check out time outside business hours (Mo-Fr 9.30 a.m. -7.30 p.m.) are possible with a fee of €25 payment.
- Check in time after midnight are possible with a fee of €50 payment.
If check-out delays are not communicated to Under The Roman Sun in time, the guest will pay a "day use fee" which is 50% of the cost per night. If the checkout is after 3.00 pm the amount will be 100% of the cost per night.
The arrival has to be at the place and time agreed with Under The Roman Sun. If you do not arrive on the time agreed, due to demonstrable inconvenience which is not within your control (eg. delayed or cancelled flight) it will be sufficient to contact Under The Roman Sun on arrival and make a new appointment. When the late arrival cannot be charged to unforeseeable circumstances, you may anyway fix a new appointment with Under The Roman Sun for the hand over of the keys. In both cases, should you loose one or more nights, you will have to pay for the entire duration of the booking, including the nights you have not stayed in the apartment. In case of an anticipated departure no reimbursement will be recognized. To extend your stay it will be enough to contact our booking office.
6. Cancellation of Booking
- If the client cancels
If you need to cancel the booking, you may send an e-mail to:

The cancellation policy of Under The Roman Sun is as follows:
Cancellation: Between 60 and 46 days before arrival
Penalty: 100 Euro processing fee
(The 100 Euro processing fee will be retained from the downpayment. If the value of the downpayment is less than 100 Euro you will have to pay the remaining amount to Undertheromansun via bank transfer or W.U.)
Note: In case you have made the booking by sending a deposit of 25% - 35% by W.U. or by bank transfer, you will be reimbursed for the difference if the value of the downpayment is superior. The cost of the corresponding operation will be retained.
Cancellation: Between 45 to 31 days before arrival
Penalty: Total amount of the advance fee
Note: If you confirmed the booking by bank transfer or by W.U. will we keep the total amount of your paid advance fee.
Cancellation: Between 30 to 15 days before arrival
Penalty: 50% of the total amount of the booking
Note: If you confirmed the booking by bank transfer or by W.U. you will have to pay and additional 30% of the total amount of your booking.
Cancellation: Less than 15 days before arrival
Penalty: 100% of the total amount of the booking
Note: If you have paid the deposit of 25% - 35% with W.U. or by bank transfer, the total amount of the deposit will be retained and you will have to pay the remaining 80%.
b) if the agency cancels:
In the rare occasions in which unforeseen circumstances force the agency to cancel the apartment’s reservation, the client can choose to book another apartment with similar characteristics among our wide range of offers.
In case that the alternative options do not fit the client’s needs, we will refund the total deposit amount and Under The Roman Sun will have no further liability.
However, in the case of one of the above described events, we commit ourselves in providing an apartment with the same or higher characteristics of the originally booked apartment.
c) A 100 Euro processing fee will be charged in case of reduction of the duration of the booking communicate within 30 nights prior to arrival:
All the alterations of booking requested 30 days or less before arrival will be considered as cancellations and therefore the corresponding penalties will apply.
7. Circumstances beyond our control
If Under The Roman Sun is not able to provide the accommodation requested due to circumstances beyond its control, Under The Roman Sun will find other suitable accommodation at the same price and with the same features and standards.
8. Pets
Pets of any kind and size are only accepted upon request.
9. Number of people
Clients cannot bring a party that exceeds the number of people stated in the booking confirmation. Under The Roman Sun has the right to withdraw from the contract if the number of people is not that specified on the reservation form. In this case no refund will be given.
10. Tenant’s obligations
The tenant must pledge to occupy the lodging respecting the regulations of the good neighbourhood. The apartment must be left in order. More specifically: the pottery must be cleaned, the garbage must be thrown in the public garbage can, outside the apartment.
Those properties that require a cash security deposit clearly state it on the property description page and again on the voucher. The security deposit is paid for on arrival in cash and returned to the Client at check out after a verification of eventual damage or breakage that may occur during your stay. In cases where no security deposit is required and excessive damages are incurred due to the negligence of the client, the amount will be debited from the client's credit card.
Clients are held to respect the property and the traditions of the location. If the clients or their party fail to behave in a civilised and decent manner, the owner or his representative has the right to ask the party to leave the property immediately and before the schedules departure date and has the right to deduct the sum of any damage incurred from the security deposit or from the client's provided credit card in addition to and cleaning fees. In this case the client loses all rights to any reimbursement of rental costs.
11. Apartment conditions:
- The apartment will be clean and ready for your stay upon your arrival.
- You are expected to leave the flat in the same conditions in which you found it. No damage is to be done to the property, the furniture and all the things inside the apartment. If you find something broken/not working properly in your accommodation please report it to the owner of the apartment as soon as possible (please find her/his number on your booking confirmation). The owner of the apartment is responsible of solving problems related to the functionality of the apartment. Neither the owner nor Under The Roman Sun can not be held responsible for any inefficiency if reported too late (e.g. at the end of your stay). The group leader, whose name appears in the booking voucher, is the responsible person for the behaviour of her/his party.
- If there are insufficiencies in the apartment, the client has to directly contact the owner of the apartment, who is entirely responsible for the state of the apartment.
- The keys are collected in the apartment at the time of your check-in and they are given back to the owner or one of her/his representative.
12. Responsibility
Undertheromansun will not be held responsible for:
- Robbery in the apartment
- Fire
- Other causes out of the control of Under The Roman Sun (natural calamities, wars, terrorist attacks etc.)
The owner of the apartment, and not Under The Roman Sun, is responsible for the good functioning of the apartment and its appliances.
13. Personal details
In compliance with the law concerning privacy and treatment of personal details (L. 675/96). Under the Roman Sun, states that this information will only be used for:
A1) contracts, bookings, contractual obligations, eventual juridical disputation.
A2) information about our tourist activities, sending catalogues, questionnaires to see how satisfied our clients are.
